How to run a stock count

A count compares system stock with what is really on the shelf: you enter what you counted, and the program shows shortages and surpluses in money.

What you need

  • The inventory, start-count, write-off and receive permissions — managers, admins and owners have them by default.
  • If write-off says you lack permission, check "Permissions" in the cabinet → shortage write-off.

Steps

  1. Start a count

Menu "Inventory" → "+ New count". Add a note if you like. The count appears under the "Current" tab.

  2. Find a product

Open the count and type or scan into the search box — it searches by name, barcode, code and PLU. You can filter the list by department or stock.

  3. Enter the counted quantity

Type the quantity in the "Actual" column and press Enter — it saves and moves to the next row. "Difference" and "Value" update immediately.

  4. Review the totals

The top bar shows "Counted X / Y", "Shortage" and "Surplus" — in quantity and money.

  5. Write off shortages and receive surpluses

"📉 Write off (shortage)" and "📈 Receive (surplus)". Both ask for confirmation.

  6. Complete

"✓ Complete". The count moves to "Completed" and can no longer be changed.

Good to know

  • Only products with an entered quantity are written off. If something is not on the shelf, enter 0 — uncounted products are not zeroed automatically.
  • Do the write-off and receive before completing — the buttons are hidden on a completed count.
  • To fix a single product you do not need a full count: "⚡ Quick correction" — product, counted quantity and reason.
  • The scanner finds the product; the quantity is typed in by hand.
